What is Zapier?

Using Zapier, you can integrate different systems together. Zapier enables a specific 'Trigger' in one system, to initiate an 'Action' in another system.

A set of triggers and actions is called a 'Zap' in Zapier. The online academy also provides Zaps that you can utilize.

Zapier offers a free version. However, for integrating with certain systems such as Shopify, you'll need a premium account. Additionally, if you exceed a certain number of 'tasks' within your Zaps per month, a paid account is also required.

In which situations can I use Zapier to integrate systems with the online academy?

We have a couple 'standard' integrations available, such as Microsoft Entra ID or AFAS. For these integrations, you do not need Zapier. You can use Zapier for the following scenarios:

  • You would like to integrate an e-commerce platform (e.g., Shopify) with the online academy.

  • You would like to integrate specific actions from a marketing tool (e.g., HubSpot) to users in the learning environment.

  • You would like to transfer data from automated emails to registrations and user accounts in the online academy.

How am I supported in integrating with Zapier?

We cannot provide detailed guidance on integrating with Zapier, but we can assist where possible in the integration process. Your Customer Success Manager can assess whether we can help you with the setup. Additionally, we need to provide you with the API key to access data in Zapier and grant you access to the appropriate Zap.

Zapier offers the most comprehensive support within its software. They have their own Zapier University, where you can sign up for free.

How do I integrate Zapier with the online academy?

To use Zapier and create Zaps, follow these steps to initiate the process:

  1. Ensure you have a Zapier account, in which you can design the Zaps.

  2. Email support@rakoo.com or request access from your CSM to the appropriate Zapier app (this is not a public app in Zapier).

  3. When setting up actions based on triggers in one system, you'll need to authenticate yourself as the person who has access to the learning environment. This requires an API key, which you can also request from support@rakoo.com or your CSM.

Now you can configure all the necessary steps and map the appropriate fields from one system to our Zaps, allowing, for example, the addition of a user to the online academy based on a specific action.

You can test the various steps you create in Zapier, to ensure they work correctly. Testing involves using real actions, so it's recommended to use exemplary data for testing your Zaps.
