Manage all your learning formats in one place

All learning formats you create will automatically appear in the Warehouse, the Content Management System within your online academy. In the Warehouse, you can view and edit all your learning formats. The Warehouse also allows you to easily reuse your learning formats.

How does the Warehouse work?

When you create a learning format, such as an e-learning or microlearning, it is automatically saved in the Warehouse. The learning format is saved based on the title you give it. When creating the title, it's therefore important to keep in mind to choose a ‘logical’ title. This will make it easier for you to later find the learning format in the Warehouse.

You can use the Warehouse for various purposes.

1. Use the Warehouse to edit existing learning formats

In the Warehouse, you can search and filter existing learning formats. For example, you can search for a title in the search bar at the top right or you can filter based on ‘learning objective’ or ‘tag’ in the columns. When creating a learning format, it is advisable to assign clear objectives and tags to it, to facilitate searching and filtering in the Warehouse.

Once you find the learning format you want to edit, you can click on it to view the content.

A new window will then appear. Here, you can do the following:

  • Statistics: Here, you can see when the learning format was last modified and by whom. You can also see in which learning activities this learning format is used. For example, in one e-learning and one microlearning. Clicking on ‘Further information’ will show you all the learning activities in which this learning format is used. From there, you can also navigate to the specific learning activity in which the learning format is used.

  • Settings: Here, you can view and optionally modify the learning objectives and tags associated with the learning format.

  • Content: Here, you can change the title and content of the learning format. You can also choose to make the title ‘invisible’. You can achieve this by clicking on the ‘eye’ icon next to the title. The title will then be hidden from the user. In the ‘Description’, you can view and edit the content of the learning format. If you have made changes to the content, click on ‘Save changes’.

  • Delete or duplicate: You can delete the learning format by clicking on the trash bin icon. This action is irreversible; the learning format will be removed from all learning activities where it was used. The duplicate icon allows you to duplicate the learning format. The duplicated learning format will automatically have ‘(copy)’ added to its title. You can change this title; it's recommended to choose a different title than the original learning format.

Please note!

When you make changes to a learning format via the Warehouse, those changes will be implemented to all learning activities in which the learning format is used. If you want to modify a learning format in, for example, one specific microlearning, you will need to modify it within that specific microlearning itself. Here, click on the ‘Pen’ icon to edit the learning format and then ‘Duplicate’. A copy of the learning format will then be made. This copy will be saved as a new learning format in the Warehouse. It is advisable to give this copied learning format a different title.

2. Use the Warehouse to create new learning formats

In addition to creating learning formats within a learning activity, you can also create them directly in the Warehouse. Read this article to learn more about creating learning formats.

3. Use the Warehouse to reuse learning formats

The Warehouse can be used to reuse existing learning formats. For example, think of a topic that is covered in both an e-learning and a microlearning. You can easily copy the content you originally wrote in the e-learning to the microlearning (or another learning activity). To achieve this, scroll to the bottom of the page. Here, you find the bar with learning formats to choose from. Below this bar, you'll see a search bar. Here, you enter the title of the learning format you want to reuse. Once you click on it, the learning format will automatically be added to your current learning activity.
